REUNION PLANNING

Use this timeline to move step-by-step through the overall reunion planning process.

august–October


Kick-off call with Class Activities to start the reunion planning process

Create and build class reunion committees

  • Regional Committees help increase participation

Set first meeting with committee and establish ongoing meeting schedule
           
Build a communications, marketing and participation plan

Build preliminary reunion program

  • College and class planned activities
  • Class meetings, Memorial Services, class panels, dinner speakers, entertainment, etc.
  • Submit a few requests for preferred meal and classroom spaces

Catering research, quotes and ideas

  • Confirm meal venues prior to signing a catering contract

Preliminary budgeting

  • Open Local Reunion Bank Account

Class tent locations and major meal venues are assigned

Attend Class Officers Weekend Chairs Orientation

November–January

Reunion Bulletins are sent from the College with important Reunion “to dos” and deadlines

Reunion committee work

  • Regional committees in place and ready to divide and conquer the country
  • Gather costs to be submitted to reunion chairs and treasurers

Continue to implement communications, marketing and participation plan

Finalizing of reunion schedules

  • Class panels and speakers confirmed
  • Entertainment confirmed

Finalizing of budgets

  • Class Activities will schedule budget meetings with each Class in January
  • Establish local bank account if it hasn’t been done

Catering

  • Final menus
  • Food quality is important
  • Beverage plan and grids

Miscellaneous Logistics

  • Souvenirs
  • Memorial Programs

Registration Buildout starts in December

  • Advancement Events will schedule review meetings in February

february–April

Reunion Bulletins are sent from the College with important Reunion “to dos” and deadlines

Final reunion schedules submitted

Final logistical needs confirmed and submitted to College

  • Set up and AV needs
  • Diagrams approved *set meetings with Jim Alberghini to review as needed

Catering

  • Continue to refine order and menus
  • Look for beverage sales and determine purchase, transport and storage plan

Transportation requests submitted

Memorial programs sent to print

On-campus housing applications due

Miscellaneous Logistics

  • Souvenirs plan: storage and shipping
  • Pre-night housing

Registration goes live in March

May–July

Contact head workers

  • Set up time to meet
  • Create schedule for student workers

Welcome letters due

  • College will enlarge and print on poster board for class tent

Child Care application deadline

Catering and Beverages

  • Final counts and needs
  • Beverages and supplies purchased

Name badges and attendance lists

  • College will print name badges and invoice cost on final invoice
  • College will print list prior to your arrival and have copies available for registration desk

College reunion invoice

  • Due the last day of your reunion
  • Number of attendees registered and paid will be invoiced the Green Fee

Post reunion survey sent by College
