REUNION PLANNING

All audiovisual and power needs are serviced by Dartmouth Facilities and Operations Management or Classroom Technology Services. No outside vendors are allowed to provide AV or power services or equipment unless Dartmouth is unable to fulfill the request.

Class Tents

  • Each tent is equipped with (1) 20-amp outlet (a basic circuit with two outlets) that powers basic lighting and sound system.
  • The dance floor is automatically set up on the end of the tent closest to outdoor power.
  • Depending on your tent location, additional power may be necessary for items such as special sound system for band and/or DJ, special lighting, etc.
  • Dartmouth can provide most everything you need and will have it in place at the desired time. Just outline your specifications to Advancement Events – the more detail the better. We will share your request with the appropriate departments to ensure that Dartmouth can provide adequate service. We can help fulfill your request with an outside vendor if Dartmouth is unable to accommodate.

Meal Venues

  • Each indoor and outdoor venue is equipped with basic lighting and power for caterer needs at minimum. Please check with your caterer on each event as additional lighting and electrical sources may be needed. It is very important that you check with your caterer and Advancement Events about the power that you need prior to your event.
  • Depending on the venue, additional power may be necessary for items such as sound system, special requirements for a band and/or DJ, special lighting, etc.
  • Dartmouth can provide most everything you need and will have it in place at the desired time. Just outline your specifications to Advancement Events – the more detail the better. We will share your request with the appropriate departments to ensure that Dartmouth can provide adequate service. We can help fulfill your request with an outside vendor if Dartmouth is unable to accommodate.

Entertainers

  • Dartmouth Audiovisual Services has most of the necessary equipment for entertainers such as bands and DJs.
  • AV Services will set up and tear down the equipment based on the time schedule provided by you on the Function Sheet.   
  • Get the band’s stage requirements, and send this info to Advancement Events. 
    The information will be shared with the appropriate departments to ensure that Dartmouth can provide the services requested. If we can’t, we’ll help you find an outside vendor that can.  

Equipment

  • Must be set up on an event-by-event basis due to rain, humidity, and theft.  
  • Cannot be left outside overnight.  
  • The class is responsible for fees incurred for damaged or stolen equipment.
